Signing forms and documents in Compaxit

Compaxit keeps a roster of signatories — the people whose signatures your firm holds on file. A signature is captured once (drawn on screen, uploaded as an image, or typed) and can then be placed wherever that person signs.

Getting a signature on file

On the Signatories screen, either capture the signature yourself or use request a signature to send a secure one-time link (or QR code). The person signs on their own device — no account needed — and the signature is stored on the roster.

Documents

When you generate minutes, resolutions or letters, choose who signs in the Signatures panel and the signature is placed above the printed name. Compaxit warns you if the signature you pick belongs to a different person than the one the document names — minutes, for example, should carry the chairman’s own signature.

Companies House forms

Most Companies House forms have a Signature box. Choose a signatory when preparing the form and their signature is placed in that box (replacing the typed name, since the signature itself authenticates the form). Choose nobody and the box is left blank for wet ink — both are acceptable to Companies House.

Only with authority

Only apply a signature for a filing that person has actually authorised. The roster is a convenience, not a substitute for their say-so.
