Finding and preparing a document

Compaxit organises documents by transaction — what you are doing for the company (a share allotment, a board meeting, appointing a director, and so on). This keeps a large library manageable, but it does mean knowing where to look.

Preparing a document

From a company’s overview, or from Generate, you pick the transaction, then the type (for shares this is Subdivision, Allotment, Transfer and the like), then the document itself. A type shown as “none yet” simply has no template added there yet. Choosing a document opens a short form, pre-filled from the company record; fill in anything left blank and generate a PDF or Word file, or send it for signature.

Finding a document you cannot see

If a document is not where you expect, it may be filed under a different transaction. The quickest way to find anything is the Document Library in the top menu: it lists every document grouped into collapsible categories, and the search box filters by name and keyword across all of them at once. Type a word like “minutes”, “allotment” or “dividend” and the matching documents appear.

Organising the library

If you manage the templates, documents are filed into folders on the Templates screen — drag a document onto a folder to file it, and it appears under that transaction in the picker and the library. Anything not yet filed shows under “Other”.
